Standard conditions of participation in PASTE Events for

 Re-enactment groups and other performers

 PASTE hopes that these guidelines will ensure an enjoyable and safe event for sponsor, participant and spectator alike.  These guidelines encompass the following:

These terms and conditions should be read in conjunction with the contract.  Most items are common sense but need to be set down to allow all those taking part to be aware of the required standards.

Insurance

Unless otherwise notified by PASTE, every group and/or participant is required to provide a copy of public liability insurance for the required amount (normally £5 million public liability, unless specified in contract). 

Health and Safety requirements

PASTE will work together with each participant and/or group to ensure that all events are as safe as practicable for participants, spectators and sponsor.  We will provide a Health and Safety risk assessment for every event together with the site owner to include a major incident/accident evacuation plan.  A Health and Safety representative of each group and/or participant will liaise directly with PASTE to ensure the group and/or individuals display are assessed fully.  All activities and equipment must meet local authority and statutory requirements.  THINK SAFETY AT ALL TIMES. Each group or individual should have a safety policy both known to the membership and PASTE.  Participants must not do anything they consider unsafe, even if ordered to do so by society officers.  Please note that for obvious operational reasons PASTE will hold participating societies responsible for the actions of their members and cannot take responsibility for the actions of others. 

Minimum Standards of Presentation and Authenticity

PASTE requires all participants to ensure their minimum standards of presentation and authenticity are taken sufficiently seriously for the duration of the public visitor hours.  For "Living History" displays these should contain at least the following:

 Participants Behaviour

PASTE requires all participants to amicably co-operate with the organisers and other performers/traders, and not conduct themselves in anyway likely to cause offence or bring PASTE or the site owner into disrepute.  It is expected that all groups will be self stewarding and for the sake of others will enforce a noise curfew on their members (Midnight unless informed otherwise).  Participants who disregard this request will be subject to the immediate and permanent removal and the group may be subject to further action including the withholding of any outstanding payments if they fail to control their members. All groups must be self stewarding on and off the field, particularly during the hours of darkness.  Paste will be responsible for the free use and provision of appropriate welfare facilities for the use of the Group. Participants are responsible for their member’s health and wellbeing during the event and each group should maintain a ‘base’ in case emergency aid is needed.  Participants must take care to protect their members, visitors and PASTE staff from any potentially hazardous activities and displays associated with the event. Alcohol must not be consumed by any participants carrying out any public display during visitor hours.  Anyone suspected of being under the influence of alcohol or drugs during visitor hours will be asked to leave the performance area to recover pending possible further action.

Standard Conditions 

All participants taking part in PASTE events must be paid up members of groups or individuals specifically invited to participate in the event.  Membership cards and/or proof of membership will be required so please ensure you have relevant documentation with you at the event.  Please note no-one is permitted to invite other groups or individuals without written permission from PASTE. Fire points will be established both within the Period & Modern Camping Areas. Fire appliances/water buckets WILL NOT be used for anything except their intended use. ONLY designated areas will be used for fires, which will be attended at all times once lit. Animals will be kept under control at ALL TIMES. Horses used by participants will be led to and from Display Arenas. Where possible, a Non-Public route will be arranged for this purpose. Horses within Living History areas will be roped off from visitors. Dogs will be kept on leads at all times during visitor hours, and kept under control at all other times. Arena Displays will take place within appropriately taped areas, designated by PASTE. Apart from the participants, commentator, and official stewards, no one will have access beyond these barriers for the duration of the Display. This includes both prior to & post the display, so as to ensure the area is cleared of all pyrotechnic and dangerous substances used in the performance of the display. Vehicle movement will be restricted to official & Emergency Vehicles ONLY, during visitor opening hours, which will be published prior to the Event taking place. The movement of ALL Vehicles will be kept to a minimum for the duration of the Event, except for Set up & departure, and drivers will obey all Organisers directions at ALL TIMES. Weapons and equipment will remain the responsibility of their owners at ALL times. Security must conform to all legal requirements, including LOCAL Police & Trading Standards directives. Appropriate licences must be available for presentation on request of authorities. DO NOT allow visitors to touch or pick up Weapons or Equipment unsupervised, and all items of dangerous Equipment must be stored securely when not in use. All participants will be expected to return any areas utilised for camping or display back to their previous condition. ALL rubbish must be removed to a designated area on departure. Failure to comply may mean the participants responsible not being invited to take part in future Events, and a retainer of the fee held back to recover any damage to the area concerned. 

WE HOPE YOU DO NOT FIND THESE TERMS AND CONDITIONS TO DRACONIAN. They have been developed from experience gained over 25 years of participation and organisation of Historical Interpretation Events.
